Leave Statistics
Approval of Leave Requests
Department Heads are required to process (approve or reject) leave applications on or before the 3rd day prior to the effectivity of the filed leave. Failure to process the request within the Company’s online system by the end of the 3rd day will deem the leave application as approved.
Example:
Effectivity of Leave: Friday, Oct 11, 2019
Approval: On or Before Tuesday, Oct 8, 2019
Auto-Approved: Wednesday, Oct 9, 2019, if the Department Head fails to process the application
Leaves
“On leave” generally refers to an employee not reporting to or absent from work. Leaves (or absences) can be classified as either Authorized or Unauthorized Leaves.
Authorized Leaves (or Absences)
An employee may not report to or be absent from work WITH proper approval from the Department Head / Immediate Superior with the following leave types:
1. Vacation Leave
2. Emergency Leave
3. Sick Leave
4. Time Off In Lieu
5. Eligibility for any Government Statutory Leave
Unauthorized Absences
n employee not reporting to or absent from work WITHOUT proper approval is considered unofficial and constitutes AWOL and LWOP. Unauthorized absences may lead to disciplinary action.
Advance Usage of Credits to be Accrued
Only Regularized employee shall be allowed to file leave requests in advance against credits to be accrued.
The effectivity date/s of when the employee intends to be on leave must fall after when the credits have been earned (after either the 11th or 26th of the month). The Company’s online system shall verify this and if found that effectivity date/s of the intended leaves fall before when the credits are to be accrued, the request shall be automatically denied.
Example:
Current date = Oct 1, 2019
SIL Credits Available = Zero (0)
Filed leave = 2 days on Nov 21-22, 2019
Accrual of Credits:
Oct 15 = 0.833
Oct 30 = 0.833 / 1.667 total credits
Nov 15 = 0.833 / 2.5 total credits
In the example above, the advance usage of credits to be accrued shall be allowed by the Company’s online system.
Vacation Leave
Vacation Leave must filed and approved in advance within the Company’s online system. The Department Head / Immediate Superior shall be the final approving authority and has the prerogative to defer the leave depending on the workload of the department / team.
The employee shall file their request prior to the effectivity date of the leave (i.e. when the employee will be absent) according to the appropriate directive below:
1. Leaves of five (5) days and below -- request must be done one (1) week in advance
2. Leaves of six (6) days and above -- request must be done 1 month in advance
Sick Leaves
Sick Leave must be filed upon return to work with the appropriate medical documentation. All Sick Leaves must have an appropriate Call in Absent (due to Sickness).
Sick Leaves shall have the following documentary requirements:
1. one (1) day - no required Medical Certificate
2. two (2) days - Medical Certificate required
3. three (3) days and above - Medical Certificate and Fit to Work required
The employee is expected to file a Sick Leave within the Company’s online system within twenty-four (24) hours upon return to work in the succeeding Work Shift. Failure to file the request within the prescribed period will not provide the necessary evidentiary proof of approval and the Company’s online system shall tag the employee as AWOL.
Emergency Leaves
Emergency Leave is used for unplanned absences due to the following conditions:
1. Calamities or Natural disaster (e.g. Typhoon, Floods, Earthquake, etc.)
2. Death in the immediate family
3. Sickness or that of an immediate family member
4. Transport Strike
Emergency Leave approval shall require the following documents:
1. Calamities or Natural disaster - Barangay Clearance
2. Death in the immediate family - Death Certificate
3. Medical Certificate
All Emergency Leaves must have an appropriate Call in Absent (due to Emergency).
The employee is expected to file a Sick or Emergency Leave within the Company’s online system within twenty-four (24) hours upon return to work in the succeeding Work Shift. Failure to file the request within the prescribed period will not provide the necessary evidentiary proof of approval and the Company’s online system shall tag the employee as AWOL.
Time Off In Lieu (TOIL)
Managers and above (including Supervisors, if allowed) are not entitled to holiday pay premiums. Working on Philippine Public Holidays, including Rest Days, will entitle them to Time Off In Lieu (TOIL), as an additional day off work. Rendering a minimum of four (4) hours of work on a holiday or rest day will qualify as a full work day rendered.
TOIL shall be credited to the TOIL balance at the start of the next Work Shift.
Probationary Managers (and/or Supervisors, if allowed) are allowed to accrue and use TOIL within the probationary period.
TOIL is not convertible to cash and non-transferrable to another employee of similar or higher rank.
TOIL cannot be used in advanced to file for a leave with the foresight, expectation or intention to report to work on an upcoming Philippine Holiday or Rest Day. Only TOIL that has been credited can be used.
Unused TOIL will be forfeited after March 31 of the following year.
Christmas Shutdown
Due to the long holiday, the Company may call for a Christmas Shutdown, normally for a period of ten (10) work days without operations. In such cases the following shall be applicable to both Regularized and Probationary employees:
1. Ten (10) credits shall be deducted from available SIL credits.
2. For any deficit in credits to cover shutdown days, this will be considered LWOP.
The Company, out of goodwill, may allow the following, with prior approval from the Department Head:
1. Ten (10) credits shall be deducted from available SIL credits.
2. For any deficit, the Company shall grant the use of credits in advance for this purpose alone.
3. The advanced credits shall be charged against the employee's leave accrual the following year.
4. The employee will not be allowed any approved SIL until such time that the accrual has sufficiently reclaimed all advanced credits
Granting credits in advance shall only be used during Christmas Shutdown and NOT for any regular leave.
Department Heads / Immediate Superiors must coordinate the granting of credits in advance to the Timekeeping & Benefits Department on or before Dec 10 of the current year. Without this coordination, the department will not be able to configure advance credits for the employee to use within the Company’s online system.
If effectivity dates of filed leave are on Nov 10-11, 2019, the leave request will be denied, but the employee will be allowed only 1 day leave, instead of 2 days.
