Pre-Approved Shift
Work Week
A Work Week is composed of five (5) working days and two (2) Rest Days, except for Holidays.
Parts of the Work Day
The first four (4) hours from the start of the Work Shift shall be considered 1st Half of the Shift; while the last four (4) hours counted from the end of the Work Shift shall be considered 2nd Half of the Shift. This will be used to provide the appropriate attendance status (e.g. leave, unauthorized absence), especially for those on Flexi-Time Work Shifts.
Critical Days
Critical Days are specific days within the calendar year considered of high value by a Department and employees are expected to report to work on time. Each department may have Critical Days different from other departments of the Company. These are Work Shifts of specific days of high importance due to the demands or expectations of the business:
Skeletal operations
Peak operations
Special demand or requirements from a client
Work Shifts
Upon hiring, all employees shall be assigned a Work Shift. The Company reserves the right to assign a particular Work Shift to an employee to ensure continuous customer service and to meet operational exigency or demand.
Official Work Shift Types
The Company has three (3) official types of Work Shifts.
Time-bounded Shift
A shift with a defined start time and end time, with a total of nine (9) hours to be rendered, composed of eight (8) hours of work and one (1) hour unpaid break period. Aside from the 1 hour unpaid break, there are 2 fifteen (15) minute breaks included within the eight (8) hours of work. Grace Period may be provided as deemed necessary by the Company.
Semi-Flexible Shift
A shift specifically assigned to Managerial roles (and some Supervisor), allowing them to report anytime during the day as long as a total of nine (9) hours is rendered, composed of eight (8) hours of work and one (1) hour unpaid break period.
Full Flexible Shift
A shift specifically assigned to Management Level roles, allowing them to report for a minimum of four (4) hours a day that will be equivalent to a full eight (8) hour work day rendered. Any work rendered less than four (4) hours shall not be considered as work rendered and may lead to disciplinary action.
Applicable Work Shift
Departmental or Team Shift
To ensure continuous customer service and to meet operational exigency or demand, teams or departments may choose to adopt an Assigned Work Shift schedule following any of the Company's official Work Shifts, provided this has been approved by the Department Head and properly coordinated with the Timekeeping & Benefits Department.
Assignment by Department Head
For any change in Work Shift of an employee assigned with a Time-bounded Shift, the respective Department Head must be responsible to assign the new Assigned Work Shift within the Company’s online system. The authorized change MUST be done BEFORE the start of the new Assigned Work Shift.
Employee Request
If an employee may be allowed to choose their schedule, the choice shall be requested the employee and approved by the Department Head within the Company’s online system to ensure that specific office roles are continuously performed
Special Work Shift
Official Business
A shift assigned to an employee approved to be officially out of the office, but performing work (e.g. business trips, training, meetings out of the office, etc.). Official Business may be requested by the employee OR assigned by the Department Head. There is no need for the employee to Clock In / Clock Out and the Company’s online system shall tag the employee as having rendered work for that day.
Double Work Shift
Assigning an Employee another shift within the same day or immediately following the Work Shift of the day, or double shift, will require the Department Head to assign an extra Rest Day within the Work Week.
For Double Shift to take affect, it must be approved or assigned by the Department Head within the Company’s online system for a minimum of thirty-three (33) hours prior the intended start of the Double Shift (i.e. 24 hours prior the next Assigned Shift + 9 hours of the next Assigned Shift). This time allowance / leeway is suggested to allow the Employee to be appropriately notified of the scheduled Double Shift.
Redundancy and Off-detailing
Redundant and off-detailed employees are no longer expected to report to work within the 30 day notice period. The Company’s online system will tag the employee as having rendered work during the said notice period.
Statutory Benefits
As Statutory Benefits are synonymous to leaves, they are different from company leaves in that they are a right provided by the Republic of the Philippines to employed citizens to have paid leaves given certain circumstances (e.g. Maternity, Paternity, Magna Carta for Women, Solo Parent, etc.).
Both company leaves and Statutory Benefits are paid leaves. As these Statutory Benefits adhere to specific eligibility guidelines and documentary proof, it is the Human Resource Department of a Company, and not the superior, that needs to ensure that employee is, in fact, eligible for the said benefits. These are not leaves that a manager can simply approve.
Thus, the Company treats this benefits as a special type of Work Shift. Once proven eligible, the Timekeeping & Benefits Department will assign the Statutory Benefit as a Work Shift to the eligible employee within the Company’s online system. The Work Shift shall cover the period when the Statutory Benefit is in effect. Employees tagged with a Statutory Benefit will be considered paid during the period of the leave.
It is important that employees work closely with the concerned Department to ensure that they adhere to eligibility guidelines of the Philippine Government and benefit from the rights accorded to them as citizens of the Philippines.
Critical Days
Because the attendance for Critical Days are given a heavier value compared to normal working days, absences during these days shall be meted out with heavier sanctions.
